Having successfully proven the power and effectiveness of the model, CorpsAfrica has begun to attract funding, and so as we gear up for expansion, we seek to add motivated, capable, and highly effective staff to our team.
Overview of the Position:
The Executive Assistant performs a variety of highly responsible and confidential secretarial and administrative duties for the Director of CorpsAfrica/Uganda. The Executive Assistant will be responsible for managing the CD’s schedule, Internal meetings , coordinating travel arrangements, handling incoming and outgoing communication, and performing a variety of administrative tasks to ensure the smooth and efficient operation of the Uganda office the Executive Assistant (EA) provides comprehensive administrative, logistical, and communication support to the Country Director (CD) and the CorpsAfrica Uganda team. This role ensures efficient office operations, coordination of meetings and events, and timely execution of organizational tasks. The EA serves as the central point of contact for internal and external communications, maintaining confidentiality and professionalism while supporting compliance and reporting requirements.

Specific responsibilities:
Administrative and Executive Support
- Maintain accurate and organized records, files, and correspondence.
- Prepare meeting notes, reports, presentations, and briefing documents.
- Assist with scheduling, calendar management, and coordination of appointments.
- Support the planning and execution of events, workshops, and official meetings.
- Read and analyze incoming memos and submissions, and distribute them as needed.
- Act as a liaison between the CD and other departments or external stakeholders.
Logistics and Operations
- Coordinate travel, transport, and accommodation for staff and visitors.
- Track office supplies and manage procurement requests.
- Liaise with service providers to ensure timely delivery and documentation.
- Maintain vehicle and asset records under supervision.
IT and Front‑Office Support
- Support management of office IT equipment and troubleshooting minor issues.
- Maintain digital filing systems and ensure data security.
- Handle front‑office duties including visitor reception, phone calls, and correspondence.
- Ensure the office environment is organized and professional.
Government donor and Compliance Support
- Assist in preparing and organizing documents for OPM and other government registrations.
- Track compliance deadlines and maintain updated registration records.
- In coordination with other departments Support preparation of reports and documentation required for audits or renewals.
HR and Staff Records
- Maintain staff attendance, leave tracking, and medical insurance records.
- Support onboarding documentation for new staff and volunteers.
- Assist in updating personnel files and ensuring confidentiality.
Internal Communications
- In coordination with the Communications Officer support the CD with any related internal and external communication through drafting in social media engagement and digital archives.
- Maintain contact lists for media and partner organizations.
Additional Responsibilities:
Provide support to the Accounts Officer :
- Assist in preparing payment requests, quotations, and procurement documentation.
- Track supplier deliveries and maintain a simple register of purchase orders and invoices.
- Coordinate travel, transport, and accommodation logistics for staff and visitors.
- Liaise with vendors and service providers to ensure timely invoicing and payments.
- Maintain organized filing of procurement and financial records for audit readiness.
- Support compliance documentation for government and donor reporting
Qualifications:
- Bachelor’s degree in Business Administration, Finance, Human Resource Management, Information Technology, or related field.
- Minimum of 3 years of professional experience in administrative or operations support, preferably in NGO or development settings.
- Working knowledge of procurement procedures, logistics coordination, and basic financial documentation.
- Proficiency in Microsoft Office, Google Workspace, and basic IT troubleshooting.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication abilities with demonstrated ability to manage concurrent multiple assignments, meet tight deadlines, and prioritize accordingly, all with exceptional attention to detail.
- Demonstrated integrity, confidentiality, and professionalism in handling sensitive information.
- Ability to coordinate across departments and manage multiple priorities efficiently.
- Working knowledge of Google Workspace apps, Salesforce, and Canva
- A proactive approach to problem-solving with strong decision-making skills
- Must be able to manage information flow in a timely, confidential, and accurate manner
- Extremely detail-oriented and organized
- A passion and commitment to youth leadership, participatory community development, impact evaluation, transparency, and accountability
