OVERVIEW OF THE POSITION:

We are seeking a highly organized and proactive Executive Assistant and HR focal person to support the operations of CorpsAfrica/Ethiopia. The Executive Assistant provides high-level administrative support to the Country Director and oversees core human resources functions. This dual-role position ensures the effective coordination of executive schedules, communications, and office operations, while also supporting recruitment, onboarding, staff relations, and HR policy implementation. The ideal candidate is organized, discreet, people-focused, and capable of handling a dynamic workload.

This is a full-time job, and the base location is Addis Ababa, Ethiopia

Specific Duties and Responsibilities: 

Executive Support:

  • Manage the Country Director’s calendar, schedule meetings, and coordinate appointments.
  • Prepare reports, presentations, and briefing materials for internal and external meetings.
  • Handle incoming and outgoing communications—including emails, letters, and phone calls—responding in a timely and professional manner.
  • Coordinate staff and volunteer travel arrangements, including booking flights and accommodations, and preparing detailed itineraries.
  • Coordinate and prepare materials for board meetings, including agendas and minutes.

Administrative and Office Management: 

  • Oversee day-to-day administrative functions and ensure office operations run smoothly.
  • Maintain a system for tracking correspondence, prioritizing tasks, and following up on outstanding matters to ensure prompt responses.
  • Prepare various administrative documents, including reports, presentations, briefing materials, and other written content.
  • Assist in organizing and executing organizational events, workshops, and meetings.
  • File and retrieve organizational records, documents, and reports efficiently.
  • Provide logistical support for conferences, events, trainings, visa applications, and team-building events.

Human Resources:

  • Manages staff recruitment process, which includes evaluation of the position to be advertised, drafting and posting the vacancy announcement, management of the selection process, and conducting reference and medical checks.
  • Maintain accurate and up-to-date employee records and the Staff Handbook
  • Manages the onboarding process of all new hires, including the Global Onboarding course and orientation.
  • Manages the staff Performance Management system and Staff Development Program
  • Ensure adherence to HR policies, organizational procedures, and local labor laws.

QUALIFICATIONS:

  • Bachelor’s degree in Human Resources Management and/or Administration or a related field.
  • At least three years of progressively responsible experience in Office Management or Human Resources Management is required. One to two years with an international organization is desirable.
  • Fluency in spoken and written English, with Excellent communication skills, is required.
  • Strong organizational, managerial, and analytical skills with multitasking abilities.
  • Advanced computer literacy in word processing, spreadsheets, and personnel management-related programs and Google Workspace tools.
  • A demonstrable understanding of Ethiopian labor laws and the government administrations
  • Extremely detail-oriented and organized
  • A passion and commitment to youth leadership, participatory community development, impact evaluation, transparency, and accountability
