OVERVIEW OF THE POSITION:
The Program Logistics Assistant plays a key role in supporting training activities, volunteer operations, travel coordination, procurement logistics, and documentation. The position ensures proper preparation and execution of program events, including trainings, workshops, field travel, and volunteer support activities. The ideal candidate is organized, proactive, detail-oriented, and able to coordinate multiple tasks while maintaining excellent communication.
CLASSIFICATION: Full-time, Fixed-Term Contract (1 year, renewable based on performance and funding)
LOCATION: Addis Ababa, Ethiopia
REPORTS TO: Country Director, Deputy Country Director
Specific Duties and Responsibilities:
- Support planning, logistics, and coordination for all program trainings, workshops, and events.
- Arrange training materials, supplies, participant lists, and venue setup in advance.
- Coordinate volunteer travel, accommodation, and transportation arrangements.
- Maintain updated schedules and logistical plans for program activities.
- Assist in procurement processes for training and program materials, ensuring proper documentation.
- Manage distribution and tracking of program supplies, equipment, and training materials.
- Support the collection, organization, and filing of training attendance sheets, reports, and documentation.
- Support site visit planning, including vehicle booking, travel itineraries, and field coordination.
- Maintain inventory of program assets and supplies, ensuring accurate records.
- Work closely with Finance to ensure all program-related expenses have proper supporting documents.
- Communicate with volunteers and staff to relay schedules, updates, and logistical arrangements.
- Support in organizing events, meetings, and donor engagements as needed.
- Ensure logistical compliance with CorpsAfrica policies and donor requirements.
- Perform any other program and logistics-related duties assigned by the Program team or management.
QUALIFICATIONS:
- Bachelor’s degree in Logistics, Management, Business Administration, or related field.
- Minimum 2-3 years of experience in logistics, program support, events coordination, or admin roles (NGO experience preferred).
- Fluency in English is required; fluency in Amharic or other local languages is preferred
- Strong organizational skills and ability to multitask under pressure.
- Good communication skills and the ability to work with diverse groups.
- Basic understanding of procurement and documentation requirements.
- Proficiency in Microsoft Office and Google Workspace.
